Administrative Assistant (Full-time, Grant-funded position), Title V Nursing Project

Peavy School of Nursing

 

The University of St. Thomas, a private university (www.stthom.edu) in Houston, Texas committed to the liberal arts and to the religious and intellectual tradition of Catholic higher education, is seeking an Administrative Assistant to provide administrative and clerical support to the staff of the Title V Nursing project.  This position reports to the Project Director and the Graduate Nursing Student Success Center Director.

 

Essential Duties and Responsibilities

Serve as first point of contact for in-person, telephone, and email inquiries

Support the program evaluator with management of data collection processes related to HSI STEM grant activities.

Assist with the monitoring grant budget and ensuring all expenses meet compliance regulations.

Work with compliance officer to ensure all necessary documentation is obtained for grant activities.

Develop and consistently maintain equipment inventory purchased via the Title V grant.

Create and maintain required documentation for all grant activities.

Facilitate arrangements for all grant consultants.

Develop, implement administrative operations to support the Graduate Nursing Student Success center

Ensure all administrative operations are consistent with rules set forth by the compliance officer.

Develop calendar of reporting needs and grant activities in concert with Project Director.

Assist with community outreach activities.

 

Qualifications and Requirements

  • Bachelor's degree required, with master's degree preferred.
  • Three years of experience as an administrative assistant
  • Experience with US Department of Education grants programs preferred.
  • Advanced proficiency in using MS Office software products with particular emphasis on Outlook, Excel, Word, and PowerPoint
  • Demonstrated ability to prepare presentation materials
  • Strong attention to detail and organization, and ability to complete multiple assignments
  • Ability to generate correspondence, format memos, and produce mass mailings 
  • Courteous and pleasant telephone manners 
  • Excellent communication and organizational skills, spelling, and grammar
  • Ability to interact with a wide variety of individuals in a professional manner
  • Excellent interpersonal and group skills.
  • Knowledge of basic office equipment such as copier, fax machines and scanners
  • Experience working with low-income and underrepresented students is preferred.
  • Spanish language proficiency (written and spoken) is a plus.

 

This is a federally-funded, five-year, full-time, year-round, benefit eligible professional position.
