The University of St. Thomas (UST), a private Catholic University committed to the liberal arts and the religious and intellectual tradition of Catholic higher education, located in Houston, Texas, near the vibrant central business district, Texas Medical Center, and museum district, is seeking applicants for a full-time Admissions Office Coordinator for Guest Relations position. This position reports directly to the Assistant Director of Undergraduate Admissions.


JOB SUMMARY: This position serves as a member of the enrollment management team and serves as the primary support staff for the Office of Admissions.  In addition, the position serves as the chief point of contact for all daily campus visitors and group visits to the University of St. Thomas.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: (other duties may be assigned)

  • Manages and oversees front office functionality.
  • Greets and welcomes all guests to the University of St. Thomas Office of Admissions either in person or through electronic/telephone communication.
  • Manages the Office of Admissions general email inbox, responds to or forwards messages appropriately.
  • Maintains the calendars of all Admissions counselors for scheduling of daily campus visits. In addition works collaboratively across campus to schedule classroom visits, group tours, presentations and other recruitment activities for prospective students and families.
  • Engages in visit program analytics, uses data collected through survey of guests to continuously improve the visit experience for prospective students and families.
  • Supervises Office of Admission work-study employees.
  • Facilitates group tour scheduling and day-of activities when groups arrive to visit campus. Ensures all group reservations are completed prior to visiting campus.
  • Collaborates with admission counseling team and Enrollment Management Division leadership on strategies to increase visitor traffic to campus.
  • Other duties as assigned.



  • Strong written and oral communication skills.
  • Demonstrated ability to work collaboratively and in a fast-paced environment.
  • Demonstrated ability to effectively and efficiently solve problems, initiate, and implement projects independently.
  • Proficiency with productivity software including Microsoft products, and technical aptitude for use of new software acquired by the University.
  • Maintenance of a valid Driver's license.
  • 1 year of administrative assistant experience. Preferably in a higher education setting with a strong orientation to customer service.
  • Bilingual (English/Spanish) preferred.
  • EDUCATION: High School Diploma required, Bachelor's degree preferred.
  • PHYSICAL DEMANDS: This position is in an active office atmosphere and one must have the ability to climb stairs and do some light lifting (up to 20 pounds).
