Administrative Assistant

Title V Engineering Project

The University of St. Thomas (UST), a private Catholic University committed to the liberal arts and the religious and intellectual tradition of Catholic higher education, located in Houston, Texas, near the vibrant central business district, Texas Medical Center, and museum district, is seeking applicants for an Administrative Assistant position to provide administrative and clerical support to the staff of the Title V Engineering project.  This position reports to the Project Director and the Program Manager.

 

Essential Duties and Responsibilities

  • Serve as first point of contact for in-person, telephone, and email inquiries
  • Schedule meeting, make travel plans, collect data, provide support to the Program Evaluator
  • Compile Title V team meeting notes and distribute information about the program across campus.
  • Performance various clerical and administrative support functions such as typing, filing, maintaining files, drafting letters and other correspondence, copying, preparing reports, scheduling appointments, maintaining supplies, and other customary administrative support functions.

 

Qualifications and Requirements

  • Bachelor's degree in English, business or communications required.
  • Five years of work experience as an administrative assistant supporting multiple individuals.
  • Three years of experience on US Department of Education grant programs, H S I preferred.
  • Demonstrated proficiency using computer, fax, scanner and business office equipment.
  • Advanced proficiency in using MS Office Outlook, Excel, Word, and PowerPoint.
  • Demonstrated ability to prepare presentation materials
  • Strong attention to detail and organization, and ability to complete multiple assignments
  • Ability to generate correspondence, format memos, and produce mass mailings 
  • Courteous and pleasant telephone manners 
  • Excellent communication and organizational skills, spelling, and grammar
  • Ability to interact with a wide variety of individuals in a professional manner
  • Excellent interpersonal and group skills.
  • Maintaining confidentiality about work performed is required.
  • Experience working with low-income and underrepresented students is preferred.
  • Ability to speak Spanish is preferred.

 

This is a federally-funded, five-year, full-time, year-round, benefit eligible professional position.
