Enrollment Specialist - Transcript Evaluator

Office of the Registrar

The University of St. Thomas (UST), a private Catholic University committed to the liberal arts and the religious and intellectual tradition of Catholic higher education, located in Houston, Texas, near the vibrant central business district, Texas Medical Center, and museum district, is seeking applicants for a full-time Enrollment Specialist - Transcript Evaluator in the Office of the Registrar. The position reports to the Registrar.

Position Summary:

The Enrollment Specialist - Transcript Evaluator will review and input all modes of transfer credit for students, including foreign credential evaluation, for both graduate and undergraduate students. This position will also assist with the maintenance of policies and communications related to the university's transfer credit practices.

Transfer Credit

  • Evaluate and input transfer, test, and experience credit submitted by students into the university student information system, PeopleSoft.
  • Manage foreign credential evaluation of student transfer credit using AACRAO guidelines and procedures as well as the AACRAO EDGE
  • Input substitution/waiver approvals into student's advising reports in PeopleSoft.
  • Communicate with Deans and/or reference external colleges' catalog course descriptions to clarify transferability of transcript coursework when needed.
  • Assist in the building and maintenance of the transfer equivalency tables and other functionality in the Transfer Credit modules in PeopleSoft and the Texas Common Course Numbering (TCCN) database and other external databases, as needed.
  • Assist the University Registrar with the review of existing policy and implementation of new policies and/or communications related to transfer credit, as needed, to ensure the university is adhering to best practices within the field.
  • Serve as backup to the Assistant Registrar - Degree Audits and Transfer Credit regarding duties related to evaluation and transfer credit.

Additional Duties and Responsibilities

  • Plan and perform staff/student training and testing of software as required.
  • Assist end users with problems, questions and data clean up.
  • Serve as backup for the processing of immunization form data for newly admitted students.
  • Assist the Registrar's Office during peak registration periods, commencement, and at other times as required.
  • Assists in coverage, as needed, for the front counter.
  • Other duties as assigned.

Education and Experience:

  • Bachelor's degree required.
  • Strong interpersonal written and verbal skills.
  • Ability to work in a team environment with a focus on customer service.
  • Ability to handle multiple tasks under minimal supervision.
  • Self-motivated, a proactive problem solver, and willing to learn new skills as needed.
  • Basic knowledge of FERPA and related regulations/issues in higher education.
  • Proficiency in MS Office; PeopleSoft Student Administration experience a plus.
  • Previous experience evaluating foreign credentials preferred.
