University Events Operations Assistant

University Events Operations Assistant reports to the Director of University Events in the University Events Department and is responsible for the daily operations of the University Events Department, including scheduling and reservation of campus facilities for various events.


Under general supervision the University Events Operations Assistant would be responsible for overall workflow of the University Event Department. The University Events Operations Assistant would help to develop and maintain event process and procedures as it pertains to event operations on the campus of the University of St. Thomas and it's mico-campuses. This includes both small and large-scale University events, in addition to responsibility for engaging university (faculty and staff) and key stakeholders through collaborative communications.


  • Responsible for development and implementation of overall special events workflow.
  • In collaboration with University Facilities Department, process all incoming and outgoing work orders.
  • Responsible for adding, monitoring & maintaining approved events to the University's event calendar
  • In collaboration with the University Events coordinators assist with all elements of designated "University Events", including event plans, scheduling, printed and online collateral, contracts and publicity in consultation with various University departments and outside vendors and consultants as required.
  • In collaboration with the events team coordinates all meetings with internal and external clients and vendors.
  • Oversees all event materials and supplies needed effective event management. This will include engagements with all UST departments such as: IT, catering, facilities, business office, etc.
  • Position will be knowledgeable of all UST events and activities and responsible for ensuring that key stakeholders are represented in those events/activities as appropriate.
  • Performs other duties as assigned
  • Evening and weekend work may be required


  • High School Diploma, GED or higher
  • Two years of corporate or higher education experience
  • Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Highly Organize
